When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here. After approval of your comment, your profile picture is visible to the public in the context of your comment.


We collect statistics on visitor traffic to our website such as length of visit and pages viewed. The information is anonymous and does not identify specific visitors.

We may track your visit to our website by using ‘cookies’. You are able to opt-in to receive our monthly newsletter to receive news and updates. If you elect to receive our monthly newsletter your first name, last name and email are stored on Mailchimp, our email marketing software. We will not send you any emails that are outside of providing updates about SASTR activities and will not send on your details to any other third parties without your consent.

You can opt in via our website, email or other request and you can unsubscribe from our newsletters and emails at any time via links found at the bottom of the newsletter.

Use and disclosure of information

Your personal information may be used to:

  • Provide you with information pertaining to Toodyay roads and SASTR activities
  • Confirm your identity when you make enquiries
  • Communicate with you about the work that SASTR is undertaking
  • Address feedback or complaints you may have

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Other data, for example newsletter registration details will be retained as long as you wish, until you unsubscribe. Petition data will be stored as long as needed or permitted in light of the purposes for which it was obtained.  Survey data is anonymous.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
